StageWise ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our theater production management platform.

Information We Collect

Information You Provide

Account Information: Name, email address, password, and account type (theater company, cast member, or parent)
Organization Information: Theater company name, contact details, and billing information
Production Data: Show details, cast lists, rehearsal schedules, character assignments, and related production information
User Content: Rehearsal notes, audition submissions, conflict reports, and communications sent through the platform
Payment Information: When you subscribe, payment details are processed securely by our payment processor (Stripe). We do not store full credit card numbers.

Information Collected Automatically

Usage Data: Pages visited, features used, and actions taken within the platform
Device Information: Browser type, operating system, and device identifiers
Log Data: IP address, access times, and referring URLs
Push Notification Tokens: If you install the StageWise iOS app and enable notifications, we store an Apple Push Notification service (APNs) device token used solely to deliver in-app notifications to your device
Cookies and Local Storage: We use cookies and browser local storage to keep you signed in, remember your selected organization, and enable Progressive Web App (PWA) functionality. We do not use third-party advertising or tracking cookies

How We Use Your Information

We use the information we collect to:

Provide, maintain, and improve our services
Process transactions and send related information
Send notifications about rehearsals, schedule changes, and production updates
Respond to your comments, questions, and support requests
Monitor and analyze usage patterns to improve user experience
Detect, prevent, and address technical issues and security threats
Comply with legal obligations

Information Sharing

We may share your information in the following circumstances:

Within Your Organization: Production staff can see cast member information, schedules, and notes relevant to their productions
Cast and Parent Portals: Cast members see their own schedules and notes; parents see information for their linked children
Subprocessors: We share data with a limited set of vetted third-party providers, listed in the Subprocessors section below
Legal Requirements: We may disclose information if required by law or to protect our rights, safety, or property

We do not sell your personal information to third parties.

Subprocessors

We rely on the following third-party service providers to operate StageWise. Each has been selected for their security practices, and we have a Data Processing Agreement (or equivalent contractual terms) in place with each.

Supabase Inc. (USA) — database hosting, authentication, file storage, and realtime updates
Vercel Inc. (USA) — application hosting and content delivery
Resend Inc. (USA) — transactional email delivery (notifications, password resets, invitations)
Apple Inc. (USA) — Apple Push Notification service (APNs) for delivering notifications to the iOS app
Google LLC (USA) — only if you choose to sign in with Google; Google receives your email address to authenticate you
Stripe Inc. (USA) — payment processing when you subscribe to a paid plan (Stripe is contacted directly from your browser; we never see or store full card numbers)

International Data Transfers

StageWise is operated from the United States, and all of the subprocessors listed above are based in the United States. If you access StageWise from outside the United States, your information will be transferred to and processed in the United States. Where required by applicable law (including the GDPR for users in the European Economic Area or United Kingdom), we rely on Standard Contractual Clauses or equivalent safeguards in our agreements with subprocessors to protect such transfers.

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

Encryption of data in transit (HTTPS) and at rest
Secure authentication and password hashing
Regular security assessments
Access controls limiting who can view your data

However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your information for as long as your account is active or as needed to provide services. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we need to retain it for legal or legitimate business purposes.

Your Rights

Depending on your location, you may have the right to:

Access the personal information we hold about you
Rectify inaccurate or incomplete information
Erase your personal information ("right to be forgotten")
Port your data — request an export in a structured, machine-readable format
Restrict or object to certain processing of your data
Opt out of marketing communications
Withdraw consent at any time where processing is based on your consent

EU/UK users: if you believe we have not handled your data in accordance with applicable law, you have the right to lodge a complaint with your local data protection supervisory authority. A list of EU authorities is available at edpb.europa.eu.

Children's Privacy (COPPA Compliance)

StageWise is used for youth theater productions and takes the privacy of children very seriously. We comply with the Children's Online Privacy Protection Act (COPPA) for users under the age of 13.

No Direct Collection from Children Under 13

We do not knowingly collect personal information directly from children under 13. Children under 13 cannot create their own accounts on StageWise. Instead, a parent or guardian must create and manage a Parent Portal account and add their child from within that portal.

Minimal Data for Parent-Managed Accounts

For children under 13 added through the Parent Portal, we collect only the minimal information necessary for production management:

First name and last initial
Age or grade level
Production role and rehearsal schedule information

No email address, phone number, or other direct contact information is collected for children under 13. All communications are directed to the parent or guardian.

How Children's Information Is Used

Children's information is used solely for the purpose of managing their participation in theater productions, including scheduling rehearsals, assigning roles, and coordinating with production staff. We do not use children's information for marketing, advertising, or any purpose unrelated to production management.

No Third-Party Sharing

Children's personal information is not shared with third parties, except as necessary to operate the platform (e.g., hosting infrastructure). It is never sold, used for targeted advertising, or disclosed for any commercial purpose.

Parental Rights

Parents and guardians have the right to:

Review the personal information we have collected about their child
Request deletion of their child's personal information at any time through the Parent Portal
Refuse further collection or use of their child's information
Manage all aspects of their child's account, including removing them from productions

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
