Information You Provide

  • Account Information: Name, email address, password, and account type (theater company, cast member, or parent)
  • Organization Information: Theater company name, contact details, and billing information
  • Production Data: Show details, cast lists, rehearsal schedules, character assignments, and related production information
  • User Content: Rehearsal notes, audition submissions, conflict reports, and communications sent through the platform
  • Payment Information: When you subscribe, payment details are processed securely by our payment processor (Stripe). We do not store full credit card numbers.

Information Collected Automatically

  • Usage Data: Pages visited, features used, and actions taken within the platform
  • Device Information: Browser type, operating system, and device identifiers
  • Log Data: IP address, access times, and referring URLs

How We Use Your Information

We use the information we collect to:

  • Within Your Organization: Production staff can see cast member information, schedules, and notes relevant to their productions
  • Cast and Parent Portals: Cast members see their own schedules and notes; parents see information for their linked children
  • Service Providers: We share data with third-party services that help us operate our platform (hosting, email delivery, payment processing)
  • Legal Requirements: We may disclose information if required by law or to protect our rights, safety, or property

We do not sell your personal information to third parties.

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit (HTTPS) and at rest
  • Secure authentication and password hashing
  • Regular security assessments
  • Access controls limiting who can view your data

However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

We retain your information for as long as your account is active or as needed to provide services. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we need to retain it for legal or legitimate business purposes.

Children's Privacy (COPPA Compliance)

StageWise is used for youth theater productions and takes the privacy of children very seriously. We comply with the Children's Online Privacy Protection Act (COPPA) for users under the age of 13.

No Direct Collection from Children Under 13

We do not knowingly collect personal information directly from children under 13. Children under 13 cannot create their own accounts on StageWise. Instead, a parent or guardian must create and manage a Parent Portal account and add their child from within that portal.

Minimal Data for Parent-Managed Accounts

For children under 13 added through the Parent Portal, we collect only the minimal information necessary for production management:

  • First name and last initial
  • Age or grade level
  • Production role and rehearsal schedule information

No email address, phone number, or other direct contact information is collected for children under 13. All communications are directed to the parent or guardian.

How Children's Information Is Used

Children's information is used solely for the purpose of managing their participation in theater productions, including scheduling rehearsals, assigning roles, and coordinating with production staff. We do not use children's information for marketing, advertising, or any purpose unrelated to production management.

No Third-Party Sharing

Children's personal information is not shared with third parties, except as necessary to operate the platform (e.g., hosting infrastructure). It is never sold, used for targeted advertising, or disclosed for any commercial purpose.

Parental Rights

Parents and guardians have the right to:

  • Review the personal information we have collected about their child
  • Request deletion of their child's personal information at any time through the Parent Portal
  • Refuse further collection or use of their child's information
  • Manage all aspects of their child's account, including removing them from productions
